What is the onboarding process?

“New Team Members understandably have a lot of questions and concerns going into this process,” said Spencer Pierce, Vice President of People & Culture. Pierce spearheads Gen4 Dental Partner's People Operations team, focusing her team's efforts in partnering with local practice teams to drive high-performance culture throughout the employee experience.

The onboarding process for team members emphasizes frequent communication about what's changing vs. what's staying the same “so that by the first 30-day mark, they should feel good about where they are,” she said. After onboarding is completed, “there's an abundance of relief. It’s like ‘Okay, I understand what this means for me now.’ ”

Here is the process week by week:

  • Week 1: People & Culture Ops Team begins onboarding orientation for all Team Members. Communication goes out to each Team Member separately about what to expect, who their support team is, and how to reach them.
  • Week 2: People & Culture Ops Team begins weekly meetings with Team Members.
  • Week 3-4: People & Culture Ops Team facilitates onboarding all Team Members for:
    • Employee Programs
    • Benefits
    • Policies & Procedures
    • Support Resources
    • Required Training
  • Week 5: People & Culture Ops Team launches Officevibe social platform and communications feedback loop.
  • Week 6: People & Culture Ops Teams polls Team Members to measure and benchmark sentiment about the changeover.

What does this mean for you?

Gen4 will automate your timekeeping and payroll, benefits, and similar administrative processes. You’ll work in a forward-thinking office that invests in new technology to adapt to the ever-changing healthcare environment. And you’ll have a broad range of benefits to choose from.

  • Three medical insurance plans to choose from, provided by Cigna, plus vision and dental insurance plans
  • 401K: 3% matchup to 6%, provided by Voya
  • Life insurance: $50,000 paid by employer
  • Voluntary short-term disability insurance, voluntary long-term disability, voluntary accident insurance, and voluntary critical illness insurance
  • Financial planning and counseling services

The most impactful change for team members is: It’s a bigger team. Gen4 has high-level operations people, marketing resources and human resources professionals to draw on for backup help, advice and mentoring.

What remains the same?

  • You still have a job. Your pay rate will remain the same. You will be offered a benefits package that may be better than previously, and depending on your choices, your take-home pay may change.
  • Clinical hours & schedules remain the same. Your office name remains the same.
  • Your practice owner is still the clinical decision maker in your office.

What will change?

  • Timekeeping & Payroll
    • Your HR & Payroll will transition to a cloud-based system, iSolved, which you will receive a link via email to enroll.
    • Hourly team members will clock in/out online through Gen4 iSolved.
    • Team members will be paid on the 8th and 23rd of each month.
  • Benefits & 401k
    • Gen4 Benefits will be effective on the first of the month after transition date, so you’ll need to enroll as soon as possible.
    • Your Benefits carriers are Cigna & Mutual of Omaha. Your 401k provider is Voya.
  • Paid Time Off & Holidays
  • Vacation time accrues on each pay period. Tenure is carried over
  • 8 Holidays: New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Day after Thanksgiving, Christmas Eve, and Christmas Day.

Gen4 supports the work behind the scenes and enables your office to grow your brand. This provides long-term stability & job security for every employee, ensuring that you continue to provide only the best care to your patients.

Next steps

As your partners, we know you might want to know what your upcoming days hold, so we have a 6 week plan for every team member, associate, and partner doctor. For team members, this will look like onboarding, training sessions, weekly communication and resource review. As you get closer to your go-live date with Gen4, Gen4's People Ops team will reach out to every team member in your office with a Welcome Email and instructions on how to get started:

  • Signing up for an iSolved Account
    • Entering Direct Deposit & Tax information
    • Enrolling in Benefits
  • Participating in Employee Programs
  • Connecting with support resources
